On the Dashboard (go to dashboard section) you will find details of all the institutions recruited in 2023 / 2024 and contact details

As a team, make a list as a team of all the potential institutions you know and could sign up and be aspirational!

Split these up across the vision team members:
Number of institutions may vary depending on team member’s availabilities
Try to avoid assigning a vision team member an institution that they are from / a part of as they may not be recognised a Charity Week Regional team member.

DASHBOARD

When an institution signs up, the information plugs directly into the Dashboard. There is one for each country and it also contains the sign up data for 2023 and 2024 so can be a useful reference for which institutions have taken part before and contact details.

You will need to be logged into your CW email account to access the form. Click on the country below to access the relevant dashboard.

Top Tips!

Add your personal experiences – What made you first take part in Charity Week and what have you taken from it?

Understand your institution before pitching to them – are they a small community group that you can help get off the ground with 1-2-1 support? Are they an institution that has taken part in Charity Week for 10 years and have a Charity Week legacy?

Use the additional resources to find extra content that may stand out to your institution dependent on their interests. E.g. The amount they’ve raised in the last 5 years, The different project types supported last year, The growth in their region supported by their involvement, Impactful project feedback videos.

Every penny spent in Charity Week is accounted for and the projects we have been able to fund over the years are incredible. To learn more about them head to the following links.

Our projects can be an incredible source of motivation not just for our institutions, but ourselves and our teams.

Please note that once Charity Week funds have been raised for the year, it takes time to implement the projects and gather feedback from them hence why in 2025, we likely will hear back from our projects in 2022, 2023 etc

The Charity Week Youtube is archive of all our videos across the years (Ever wondered what charity week looked like back in 2004?!)

SIGNING UP

When an institution agrees to signing up they must fill out the sign up form: charityweek.com/signup

Once signed up, their information directly plugs into the dashboard, and they will receive an automatic welcome email (international comms).

HANDING OVER TO MISSION TEAM

Once an institution is signed up, a handover should happen between the Vision team members that pitched and signed them up to the Mission team:
  • Were there any particular reasons they signed up?
  • Did they voice any concerns?
  • How have they communicated up to this point?
  • Did they express any particular interests or goals?
Ideally each institution should be allocated a sister and brother mission team member to support them for the year.

Setting up institution group chats

Time to set up a group chat (s) with your institution

Add the main CW contacts from the institution and mission team members - The institution may prefer a separate chat for sisters and brothers.

It is also useful to have a shura member / mission team lead in the chat to support you.

Please name the chats ‘Charity Week x ‘Institution name’ 2025’ and use the following chat icon:

How to have respectful & impactful communication

Whilst we provide guidance, it’s important to work out with those you’re supporting:

If they have a preferred mode / day / time for communication
If anyone has any times they may be unavailable due to personal commitments (exams, work, family), and respecting this
Notifying each other of these periods, and who can cover whilst away

mISSION TEAM SUPPORT

What does supporting an institution look like?

There are a wealth of available resources, and further opportunities to create further local add ons too. But to get this all across, you may wish to use the following methods:
Call & Text. Reach out to your institution regularly, checking in on progress and their wellbeing. (Once every 1-2 weeks)
Feedback & Advice. Use this as a tool to provide further support, by reviewing their event plans, and supporting on how they can take things further!
Inform & Invite. Establish face to face contact, by inviting them to key training events (Masterclass/ Assemble). But you may wish to take this further by visiting their institution too.
Encourage and Thank. Try to join and attend at least one of their CW events, invite them for the Annual Dinner and recognise and praise all their efforts.

MISSION TEAM REGIONAL SUPPORT

Finance Support

Check with your shura and finance team, on the preferred communication streams. They may wish for the Mission team to be the main point of contact, and share details for finance organised webinars, the institutions can attend, and answer any complex questions. Or they may wish to have direct contact with the institution.

Marketing Support

It can be challenging for the marketing team to make sure they are following all participating institutions every year so this is something you could check - if the page does not follow an institutions page, send the profile as a DM to the charity week instagram page and the engagement team will pick this up.

Masterclass

Masterclass is a Charity Week event that your team has the option of hosting each year.

TIME OF YEAR: Summer (July / August)
AUDIENCE: Charity Week Reps (a smaller more personalised event)
LOCATION: In person (budget permitting) or virtually
AIM: To provide a masterclass on how to hold a Charity Week - logistical, inspiring and networking

The week of CW

During the week of Charity Week, this is your time to show up for your institution

As a team create a calendar of Charity Week events happening across the region and discuss as a team who will be going to what - try to visit other institutions than your own and let them know you’re excited to attend.

When you’re there, be a helping hand, speak to people and enjoy yourselves and of course, collect some content!
